Smartronix LLC is seeking a Senior Proposal Manager to lead proposal efforts across multiple business units and coordinate with assigned proposal team, capture leads, senior leadership, and technical personnel to organize, track, develop and deliver compliant, winning proposals. This role is a visible position that will primarily focus on proposals for federal defense contracts. The ideal candidate demonstrates the ability to lead a proposal team, analyze RFPs, and manage proposal schedules on behalf of the company in Huntsville, AL (Local-Remote). Duties &
Responsibilities:
Manage all aspects of proposal development:
pre-proposal planning activities, kickoff meeting, schedule management, action/issue tracking, proposal structure, compliance, writing instructions and team guidance, review team coordination, and production. Collaborate with business development and operational leadership to obtain adequate resources for accomplishing a high-quality proposal submission in a timely manner. Clarify, communicate, and enforce roles and responsibilities of proposal team members. Remain current on all solicitation modifications and communicate them to the team. Revise the schedule, outline, and compliance matrix as necessary throughout the proposal lifecycle. Provide and solicit daily updates on proposal progress via the daily stand-up. Identify risks and develop mitigation plans. Develop/maintain proposal management-related artifacts for opportunities, including kickoff materials, outline, compliance matrix, schedule, writing instructions, daily stand-up agenda, proposal team contact list, data calls, action items, and color team review briefings. Assist in the development and refinement of templates and standardized processes and procedures to streamline proposal development and requests for information. Review and analyze proposal response for consistency, clarity, and compliance with solicitation requirements, and alignment with proposed solutions and win themes. Provide writers/SMEs with feedback as necessary to ensure accuracy, compliance, consistency, and reflection of win strategies. Establish, implement, and maintain a proposal schedule. Collaborate across proposal stakeholders, including the capture manager, subject matter experts, writers, production team members, and leadership. Remove barriers for proposal team members; escalate needs and issues for timely resolution. Lead color review recovery from post-review assessment to guiding implementation of approved content changes and modifications. Update and maintain the Virtual Proposal Center (VPC) Organize responses to requests for information or other special requests. Provide sample proposal documents such as recent procurement write-ups and other historical artifacts to the team. Maintain document configuration management and control. Required Skills &
Experience:
Clearance Required:
Must be able to obtain and maintain DoD Secret Clearance Bachelor's Degree (can be substituted with years of experience) - (Marketing, Journalism, or Communications Degree is a plus) 10
years of documented, relevant experience in Complex Proposal Management activities Deep knowledge of the proposal development life cycle and understanding of Shipley, APMP, or other proposal development processes. Proficiency with the Microsoft Office suite including advanced experience with Word, PowerPoint, Excel, and Adobe. Knowledge of SharePoint, Teams, and/or Virtual Proposal Center (VPC) is a plus. Strong communication and organization skills to effectively communicate with colleagues and management. Working knowledge of US Federal Procurements is a plus Desired Skills:
Proposal Management Certifications (APMP, Shipley) Experience managing proposals across multiple markets, including Defense, Commercial, and Cloud (public, private sector) Markets. Experience leading medium to large proposal teams both in person and virtually (hybrid remote teams) Experience with FEDSIM acquisition, including orals development and coordination. Familiarity with proposal management and collaboration tools, content management platforms, and configuration management tools.
Salary Range:
$100K -- $150K
Minimum Qualification
